General Description:

Current employees of the Philadelphia Parking Authority who have been in their current position for at least one year, have at least one year minimal of supervisor experience, and have satisfactorily completed their probationary period for the position currently held. Applicants must meet the minimum requirements. Employees currently on the Excessive Use of Sick Leave list will not be considered for this position.

The Philadelphia Parking Authority has an opening for one (1) or more full-time Administrative Officer(s). The Administrative Officer is responsible for ordering, inventory control and issuance of uniforms, and supplies required by Parking Enforcement Staff. Includes monitoring quality control procedures related to parking ticket processing. Ensures ticket issuance totals match the physical count, supervisor reporting, daily issuance reports and the officer activity logs. Provide oversight of the work of ticketing clerks. Provide oversight and support for all other administrative functions of the Ticketing Department


Principal Duties:

  • Advanced Proficiency in Microsoft Office Suite, including Excel, Word, PowerPoint, and Outlook.
  • Exceptional Time Management Skills, with the ability to prioritize tasks and meet deadlines under pressure.
  • Strong Attention to Detail, ensuring accuracy and consistency in all aspects of work.
  • Outstanding Communication Skills, both written and verbal, with the ability to draft professional memos and correspondence.
  • Expertise in Document Management, overseeing the maintaining and organizing of both digital and physical files.
  • Overseeing the uniform ordering process, assisting the new class with uniform ordering, keeping order of all uniform deliveries, distribution of all incoming uniform orders and keeping track of all the order invoices for uniforms.
  • Demonstrated ability to work as a Team Player
  • Maintains a Professional Demeanor while handling sensitive information
  • A Customer Service Mindset, providing prompt and efficient support to the team and external contacts answering all customer complaints, and obtaining any supporting documents from citizens and employees
  • Document and disseminate time and attendance letters
  • Supervises the work of two clerks

Required Knowledge, Skills, and Abilities:

  • Prepare and format reports

  • Requires physical activity including heavy lifting

Minimum Acceptable Training, Experience, and Education:

  • High School Diploma
  • College degree preferred
  • Experience using Microsoft Office
  • Experience in inventory control, ordering and vendor coordination
  • Valid Driver’s License
  • At least one year minimal of supervisor experience

Selection Process:

  • 70% - ORAL INTERVIEW,
  • 20% - ATTENDANCE,
  • 10% - LATEST ANNUAL PERFORMANCE EVALUATION
