Job Description:

purchasing agent: Under the general supervision of the Purchasing Director, coordinates activities involved with procuring goods and services, such as materials, equipment, consumable supplies, and services within budgetary limitations and scope of authority of grant proposals.

 

Minimum Qualifications:

AA Degree in Business or related field of study and four (4) years’ experience in the area of procurement of goods and services; or any combination of education and experience equivalent to six (6) years.

Good knowledge of business methods, financial and purchasing practices and procedures.

Must possess skills to operate in a computerized accounting/purchasing environment, including spreadsheet applications and accounting software.

Work with figures and/or reports ensuring accuracy.

Must be able to communicate effectively both orally and in writing.

Ability to write reports, present information and respond to questions from vendors and YDI employees.

Work within established policies and regulations.

 

Job Characteristics/ Physical Demands:

A professional position, which demonstrates a continuous effort to improve operations, decrease turnaround times, streamline work processes, and work cooperatively and jointly with staff and vendors to provide quality seamless customers service. Must possess excellent organizational, and communication skills, as well as judgment, tact and diplomacy in contact with vendors, YDI employees, community residents, and local government agencies.


Strict adherence is requires to all regulations concerning confidentiality.

Bending, stooping, and/or lifting heavy objects (with or without assistance) is required on occasion.  Must be physically capable of lifting 25lbs.


Background investigation to include fingerprinting will be required. 

Physical is required upon offer of hire, and may be required periodically. 

Frequent travel is required by employee.  A valid driver’s license, clean driving record,  and proof of satisfactory car insurance is required.

DUTIES AND RESPONSIBILITIES (Not Inclusive):

  • Conducts research, evaluates findings, and makes independent decisions on purchasing matters; prepares recommendations on vending sources.
  • Process purchase requisitions and purchase orders for goods and services in a timely manner as required by YDI departments; determines method of procurement, such as direct purchase or bid.
  • Secures additional information on departmental needs and may prepare recommendations on vending sources.
  • Confers with vendors to obtain product or service information, such as price, availability, and delivery schedule.Serves as a liaison between YDI departments and vendors.
  • Reviews bid proposals and negotiates contracts in the context of desired scope of grant guidelines.
  • Maintains manual and computerized procurement records through electronic requisition system, operate database format, reviews reports, entering and posting encumbrance batches in MIP accounting software.
  • Reconcile defective or unacceptable orders with requestors, vendors and others throughout the process of procurement.
  • Expedite delivery of goods to requestor as required.
  • Support the Purchasing Director as required or as may be directed.
  • Other duties as assigned.
